Employment Opportunity for the Position of Administrative Assistant to the Business and Nursing Departments

Status

Nebraska Wesleyan University seeks applications for an individual who will provide administrative support for the Business and Nursing Departments.  This position reports to the Associate Dean of the College of Business and Health Sciences and will work directly with the program directors and faculty in the Business and Nursing Departments. The successful candidate will possess a high level of diplomacy, confidentiality, initiative, self-motivation and discretion with sensitive information. This position is benefit eligible and works 10 months during the year (typically August-May).

Responsibilities

Administrative and Office Operations

  • Answer and direct phone calls; serve as a reference point for the department and respond to general inquiries from prospective and current students
  • Prepare materials for the Mail and Copy Center; collect, sort, and distribute mail and copies
  • Prepare copies of department meeting notes and syllabi
  • Maintain department faculty files and records, including for nursing clinical faculty
  • Provide general administrative support to full-time and part-time faculty

Financial & Procurement Management

  • Maintain department financial records; process and reconcile monthly budgets; manage department credit card invoices and reconciliations; prepare monthly budget reports
  • Prepare payment forms and process department purchases for office supplies and equipment
  • Prepare reports and data analyses as needed

Human Resources & Student Employment

  • Hire, train, and supervise student workers
  • Approve student worker timecards

Academic Program & Faculty Support

  • Support the Business, BSN and MSN Program Directors and Associate Dean in developing course schedules
  • Assist with preparation of simulation lab materials, organization of lab space, inventory, and ordering supplies

Student Records & Compliance Support

  • Create and maintain nursing student files; track application materials and student progress
  • Monitor compliance requirements such as background checks, drug screenings, and immunization documentation for the Nursing Department.
  • Prepare letters and process student-related transactions (e.g., background checks, address changes, class registrations for BSN & MSN programs)

Events, Projects & External Engagement

  • Assist in planning and coordinating special projects, including guest speaker arrangements, lodging, and end-of-semester activities
  • Support department leadership in engagement with external stakeholders (e.g., advisory committees, donors, alumni, hospital administrators, accreditation visitors)
Qualifications
  • Three to five years of previous experience as an administrative assistant
  • One to three years of experience overseeing and managing a budget
  • Experience and knowledge in project management, planning, and scheduling
  • General knowledge of accounting and advertising principles
  • Proficiency in Microsoft Office 365 applications
  • Strong interpersonal communication skills, including writing skills
  • Ability to work with students, faculty, staff and administration
  • Good organizational skills, detail orientation, adaptability, flexibility, and ability to work with multiple interruptions.
  • Punctuality, good attendance habits, and attention to timelines
  • Ability to maintain confidentiality
  • Familiarity with higher education, admission requirements and FERPA rights is desirable
