Marketing and Public Relations

The Office of Marketing and Communications focuses on projects that align with the university’s strategic goals. The team provides resources and advice in strategic communication. We are ambassadors for consistent and favorable use of our brand to promote a positive image of the university. We partner with the campus community to elevate the university’s visibility by highlighting experiences and achievements of students, faculty and staff.

We share the university’s messages in the following ways:

Discovery

Following are some questions to consider before submitting a project request form.

GOAL: What is your desired outcome for this project?

AUDIENCE: Who are your target audiences? How can we best reach them?

KEY MESSAGE(S):  What is the main idea your audience should take away from this communication? What’s your call to action?

TIMING: When do you hope to deploy/deliver this project? What’s your deadline? Adequate time allows us all to do our best work. See “timelines” below.

BUDGET: What funds are allocated for this project?

Project Request Process

Is this a web page/form update, project request or story idea? Use the Web Support system for webpage updates. But if your projects involves other communication channels, fill out a project request form. Help us learn more about your needs, and how we can best help you achieve your goals. 

We’ll review your request and contact you to begin a conversation.

Recommendation

Following our initial conversation, we’ll provide a recommendation for your project. The recommendation will likely include proposed tactics, content/task assignments, project estimates (if necessary) and timelines.

We make every attempt to accept all projects. If we are unable to help you, we may suggest a trusted, local vendor to move forward with your project.

Timelines

Advance planning is crucial to having your deliverable ready when needed and allows adequate time for all stages of development including writing, editing, design, proofing, production, printing, programming and testing.

Following are typical project timelines:

Brochure (new) 12-14 weeks*
Invitation or postcard (new) 6-8 weeks*
Program (new) 6-8 weeks
Artwork for specialty items, T-shirts, etc. 2-3 weeks
Photo requests 2-3 days
Email template at least 2 weeks
Email build/deployment 3-4 days
Web forms at least 1 week
Web page development depends on scope of project

* Add additional time if your project requires distribution through the USPS.

Timelines depend on the scope of the project and where it fits in the editorial calendar with other projects. Your cooperation and timely delivery of text, photos and other creative materials will help us meet your deadline.

Projects in Process

Once we’ve agreed on the direction of your project, our team will get to work. We’ll invite you to keep up with the status of the project via Basecamp, our online project management system. You’ll typically see initial drafts on copy and design, and we’ll ask you to approve the final draft before it goes to press or online posting.

As partners, we’ll work closely together to define roles, communicate regularly, meet deadlines and support one another as we successfully meet your communication goals.
