Administrative Assistant for the Theatre Department

Status

Nebraska Wesleyan University seeks applications for an individual to provide administrative support for the Department Chair, faculty, staff, and students in the Theatre Arts Department and will coordinate all support systems for the Department and act as liaison with other departments.

The successful candidate for this position will possess a high level of initiative and self-motivation and be able to work with discretion regarding sensitive information. This position will work 20 hours per week, 12 months throughout the year. Responsibilities
  • Answer and direct phone calls, act as reference person for the department; answer general questions from prospective and current students regarding program
  • Prepare payment forms, process department orders for office supplies and equipment. 
  • Maintain department financial records, process and reconcile monthly budgets for all theatre accounts, maintain and processes all department credit cards, prepare monthly budget reports for theatre department and student organization accounts
  • Acquire performance rights, scripts and licenses for NWU productions
  • Correspond with guest artists, prepare performance agreements and payment requests, and make lodging and travel arrangements
  • Help coordinate lodging and travel arrangements for prospective student recruitment trips, as well as communicate with Marketing for advertising
  • Gather material, coordinate, and layout design for each theatre production, thus creating a program
  • Assists in planning and coordinating special projects, including new faculty and staff searches, and other activities as needed such as end of semester evaluations   
  • Prepares and picks up materials from the Copy Center.  Prepares materials for the Mail Center; collects, sorts, and distributes Theatre Arts Department mail.  Coordinate processes such as library acquisitions, scholarship awards recognitions, etc.
Qualifications
  • One to two years’ experience as an administrative assistant or related position
  • Must be extremely proficient in Microsoft Word, Excel, NDesign and working in a MAC computer environment.
  • Must have some experience with bookkeeping, account management or experience submitting expense paperwork for payment
  • Must be able to work well with students, faculty, staff and administration as a team player while providing great customer service for internal and external parties
  • Possess good interpersonal communication skills, as well as strong oral and written communication skills
  • Demonstrate good organizational, spelling and proofreading skills, be detail oriented, adaptable, flexible, and work with multiple interruptions
  • Demonstrate the ability to maintain and be responsible for confidential information
  • Prefer experience in project management, planning, scheduling
